Family History Photo Preservation: Keeping an Archive Readable in 2056
Start with the people, not the scanner
The instinct when a shoebox comes out of a cupboard is to scan everything first and sort it out later. That order loses information. The captions live in somebodys memory, and they are the part you cannot re-scan later if they go quiet.
- Ask about the picture rather than the person: who stood behind the camera, why that day warranted a photograph, what happened the following week.
- Get spellings down on paper. Family names shift across borders and generations, and the version on a shipping manifest often differs from the one in the family bible.
- Write while the print is in hand. A caption recollected two years later is usually a guess wearing the confidence of a fact.
- Budget one good sitting per relative. People move, hearing fades, and calendars fill.
- Record audio if they will allow it. Voices describing their own childhood are worth more to the next generation than another caption file.
One master, many derivatives
Preservation rarely fails dramatically. It fails when the only high resolution file gets opened, cropped, saved over, and quietly downgraded to whatever the editing app exports by default.
- Scan the print once at 600 DPI and keep that file untouched as the master.
- Work only on copies. Restoration, colorizing, cropping and red-eye fixes all belong to a derivative.
- Export per purpose rather than per whim: a web version around 2000 pixels on the long edge, a print version at 300 DPI, a sharing version sized for the platform.
- Note which file answered which question, since /blog/how-to-date-old-photos and /blog/identify-people-in-old-photos both start from the cleanest scan you have.
File names that survive a new computer
A family archive gets moved, usually during a house move or a dead laptop, and that is when naming conventions earn their keep. Put the useful facts in the file name itself, because folder structures do not always travel with the files.
| Part of the name | Example | What it buys you |
|---|---|---|
| Date, YYYY-MM-DD or a year range | 1938-06 | Sorts chronologically in every file manager on any system |
| Place | Riga | Identifies the branch of the family at a glance |
| People, surname first | Ozols-Anna-and-Jekabs | Findable by search even after the folders are flattened |
| Occasion, optional | wedding | Separates three events in the same town in the same year |
| Suffix | _master or _web | Stops the scan of record from being overwritten by an edit |
Avoid spaces if you can help it, keep the total under about 120 characters, and write one short readme file in the same folder explaining the scheme. Somebody will inherit this folder without you standing next to them.
Three copies, two media, one somewhere else
One copy is a countdown. Two copies on the same desk are one copy with better lighting. The pattern that survives ordinary life looks like this:
- Working set on the machine you actually open.
- Full backup on an external drive stored away from the computer, which covers the laptop rather than the building.
- One offsite set: cloud storage, or a drive at another relatives house with instructions written on the label.
- A yearly check. Drives fail quietly, free accounts lapse, and links to shared albums expire.
- Prints of the ten that matter. Paper outlives accounts, formats and companies.
Restoration fits in before the copying step. Once restored copies exist, back those up too, since redoing the work is not something anybody volunteers for twice. Details of what survives a /restore pass are in /blog/preserve-old-photos.
Family history photo preservation FAQ
- Should all of this happen before any restoration work? Captions first, then restoration. Names and dates inform how much care a print deserves, and restored files are easier to caption when the faces are legible.
- What resolution is enough for a family archive? 600 DPI covers prints up to about 8x10 inches and leaves room for detail crops. Slides and negatives need considerably more, so treat those as a separate workflow.
- Is cloud storage alone acceptable? It solves distance but not ownership. Keep a local copy that you control, and treat the cloud as the offsite one rather than the only one.
- How do I hand this over to the next generation? One folder, one naming scheme, one readme, and one person who has been shown where it is. Anything more elaborate tends not to survive the handover.
